Invoicing

The Invoicing tools of Nubilo are very powerful and are not only designed to help you get paid faster and save time, but also grow your business with referrals and encourage further work.

Invoicing Search Bar

Search your invoices for words or phrases by inputting the words and click the “Go” button.  Invoices that contain the search string are displayed in the Search Results Section which appears below the stats section.

Quick buttons

Quick buttons are in the top section to provide quick access to key features of the Nubilo invoicing tools. Search, help and create invoice buttons make it simple to get started with invoicing your customers.

 

Overview Stats

Check the overview stats to see how many invoices you have in progress, saved, pending and overdue.  These stats make it easy to check the status of your payments and quickly identify late payments.

 

Saved for Later

In the “Saved for Later” Section you can view a list of Invoices that have been created, but not yet sent to the customer. When a new invoice is created, you have the option to “Save”, which stores the invoice so you can work on it later.

 

In Progress

Once an invoice has been created and sent to a customer it is listed in the “In Progress” section.  Invoices are show as “In Progress” until they have either been marked as “Paid” automatically through a “PayPal” transaction or manually using one of the “Paid” buttons.

 

Table View

By default, invoices are shown in a slider format and touch screen format so that you can touch a slide to reveal action buttons and features when using a mobile device or tablet.  Sometimes users may wish to look at the data to find certain information or export the data to a spreadsheet for analysis.  In order to make this simple, click the “Table View” link to view the data in  a dynamic table with search and filter options to help you manipulate the data easily.  From here you can also export in a range of formats and print.

 

Invoice Customisation

Click on the “Customise Invoices” link to reveal of set of option for customising the format of your invoices, payment options, Email delivery message templates and reports.

 

Invoicing Templates

Nubilo automatically provides you with a default template that you can customise, or you can create your own.  Templates are used to layout your Invoices and ensure you have all your payment information and company branding saved and ready to use.

Customise your Invoices by adding your company branding and payment information to your Invoice template.

You can create any number of templates to suite your business and your customers.

All payment information is stored in encrypted formats to keep your data safe.

 

Customise Emails containing your invoices

Invoices are sent to customers via a link in an email.  So the easiest way to send a customer an invoice is to make sure their email address is configured in their customer information, and when you “Send” the invoice the customer will receive an email containing a link to the online invoice.  From there they will be able to pay.

Emails are sent using a default template. However, you can create your own customised message content.  You may want to di this in order to preserve your business branding or if you want the email to contain a specific message that relates to your business.

Reports

Currently the only report that is currently available is the “Monthly Invoicing Report”.  We have plans to produce more comprehensive automated reports.

To active the “Monthly Invoicing Report” set the toggle to the “on” position and each Month a summary report will be emailed to your business account email address.

You can also produce reports from the “table” view where your data can be queried and exported to a range of formats including Excel.

Income Summary

The Income Summary section includes visualisation of your revenue and summary information about your busines revenue

Completed Invoice Summary

The “Completed Invoice Summary” section shows a list of all invoices paid so far this month.   This is a handy way of checking what’s been paid.   Full reports of what is paid and outstanding are available in the Monthly report and “table” view sections.

 

 

Sending an Invoice

  • Choose the Create an Invoice button.
  • Select your customer, choose your invoice template, add any relevant line items and a total Cost.
  • Select Create & Save.

Now you have saved your invoice, you can choose to edit it further, or send it using the buttons in the slider bars, or the quick link buttons on the Invoice view.

Remediating Payments

Customers that choose to pay using PayPal will immediately receive an emailed receipt and the invoice will automatically transition from pending to paid.

If you customer pays by any other method, such as cash or back transfer, then you can manually set the invoice status to “paid” and the customer will be sent an email containing the receipt ad the invoice will show as “Paid”.
